Privacy Policy
Our approach to privacy
We collect only what we need to run Laima, answer your questions, protect the service, and understand how people use this website. We do not use advertising cookies or sell personal data.
What we collect
Contact form
Your name, email address, organization, and message.
Laima application
Account information, inventory data, and usage records.
Website visits
Page-view and other website-use statistics from Pirsch Analytics, described below.
Website analytics
We use Pirsch Analytics to understand how people use this website and improve it.
Pirsch records which pages you visit, which site or campaign brought you here, when you visit, your approximate location, language, and browser and device details. It also counts clicks on external and signup links, file downloads, and completed registrations in the Laima application.
To recognize a visitor for up to 24 hours, Pirsch creates a coded identifier (a hash) from the IP address, browser details, date, and a random value unique to this website. Pirsch does not store IP addresses or use cookies.
How we use your data
We use contact form messages only to reply to you. We use application data, such as inventory items, usage records, and reports, only to provide Laima. We do not use it for advertising, profiling, or unrelated purposes.
Your data belongs to you
Your inventory records, usage data, reports, and other content you create in Laima remain your intellectual property. You can export your data at any time. You can also ask us to delete your account and all associated data.
Where we store and protect data
We store Laima application data on servers in the European Union. AI requests may be processed outside the European Economic Area, as explained below.
We encrypt data while it is being sent (TLS 1.2 or newer) and while it is stored (AES-256). We make regular backups and follow standard security practices to protect your information.
AI features
Ask Laima and AI help with spreadsheet imports are optional.
When we send data
We send data to AI providers only when you are signed in and:
- send a message to Ask Laima;
- choose one of its suggested questions; or
- press “Suggest columns with AI” while importing a supplier spreadsheet.
What we send and who receives it
To answer the request, we send your message, relevant conversation history, the inventory and saved order request details needed for the answer, and any attached files to OpenRouter, Inc. For spreadsheet column suggestions, we send column headers and sample rows. OpenRouter routes the request to an AI provider. The data may be processed outside the European Economic Area.
Company and profile details
We do not send company records or user profile details to AI providers. We do send the lab data and conversation content needed to answer your request, including files you attach. Messages and files you provide may themselves contain personal information.
AI training
We set OpenRouter to block providers that use your data for AI training. Laima never uses your data to train AI models.
Weekly emails
Laima creates weekly summary emails itself, without sending data to an AI provider.
Conversations, files, and drafts
Within Laima, conversations, files, and drafts are private to you and your team. The AI processing described above still applies. You can delete a conversation at any time to remove its messages and files from Laima. Unsaved delivery and order confirmation drafts expire after 30 days. Saved supplier order requests are shared with your team, do not expire automatically, and remain available if the chat is deleted.
You approve inventory changes
The assistant never changes stock on its own. Review deliveries before pressing Receive and supplier confirmations before pressing Add to in transit. When asked, the assistant can save or update supplier order requests; these do not change stock or contact suppliers.
Who we share data with
We do not sell or rent your data. We use service providers for hosting, email and contact-form delivery, website analytics, and AI features. They process information only to provide those services.
Emvi Software GmbH provides Pirsch Analytics. OpenRouter, Inc. routes AI requests to AI providers, as explained in the AI features section.
Stripe processes payments for AI credit purchases. We send it the team and purchase identifiers needed to credit the right account.
Cookies and browser storage
This website does not set analytics or advertising cookies. Pirsch Analytics does not use cookies. We save your light or dark theme choice only in your browser’s local storage.
The separate Laima application uses an essential session cookie to keep you securely signed in.
Your rights
Under the General Data Protection Regulation (GDPR) and applicable data protection laws, you can access, correct, export, and delete your personal data. To make a request, email [email protected] at any time. We will respond within 30 days.
